New · for Clara customers

Every fill-up, matched to a vehicle and checked.

Import your Clara Fleet Card statement and every line lands on the right vehicle and driver. Nine rules flag the fill-ups that don't add up, and each flag says why.

Four jobs you stop doing by hand

Each one starts from data you already have: the card statement, your vehicle list and the documents in the glovebox.

Fuel control

Catch the fill-ups that don't add up

Nine rules check every fill-up the moment it is saved or imported. Nothing to set up and no reading line by line: every flag says which rule it broke.

  • More than the tank holds

The volume exceeds the vehicle's recorded tank capacity by more than 10%.

  • Two fills too close

The same vehicle records another fill-up less than four hours later.

  • Odometer running backwards

The reading entered is lower than the vehicle's last known kilometrage.

  • Price out of range

The price per litre sits more than 30% away from your fleet's own average over the last 30 days.

Card reconciliation

Reconcile your Clara Fleet Card in minutes

Paste the statement and the app does the rest. It recognises headers in Spanish, English and Portuguese, copes with commas or semicolons, and reads figures written either 1.234,56 or 1,234.56.

  1. 1

    Paste the CSV

No template to fill in: the app finds the date, card, amount, volume and reference columns by their names.

  2. 2

    It matches itself

Each movement joins the right vehicle through the card number already saved on that unit.

  3. 3

    Reconcile the rest

Cards it does not know yet wait to one side; give them a vehicle once and the next import recognises them.

  4. 4

    Review what stands out

The nine rules run over imported rows too, and re-uploading the same file counts the repeats instead of double-posting them.

Documents and expiry

Renew documents before they stop a vehicle

Thirteen document types, filtered to your fleet's country, for vehicles and drivers. Each shows the days it has left, turns amber 30 days before it expires and red once it lapses.

  • Vehicle and driver documents, by country
  • The soonest expiry first
  • Alerts on the dashboard 30 days ahead

True cost

See which vehicle costs the most per kilometre

Fuel, maintenance and every other expense add up per vehicle over the dates you choose, as a cost per kilometre you can defend to finance.

  • Fuel, maintenance and other expenses per vehicle
  • Cost per kilometre over any date range
  • A CSV export that opens cleanly in Excel

Built for the region, not translated into it

The reader picks the language; the fleet decides the currency, the units and which documents are compulsory. That is how one dashboard reads in Portuguese with litres and in Spanish with gallons.

The card

The Clara Fleet Card in Mexico

In Mexico, the card is a tax tool as much as a way to pay.

  • An electronic fuel wallet authorised by the SAT: up to 100% of your fuel spend is deductible.
  • One consolidated CFDI a month, with the hydrocarbons complement, so drivers never ask for invoices at the pump.
  • Drivers fill up at any station that accepts Mastercard.
  • A card for each vehicle or driver, each with its own daily or monthly spending limit.
  • Its statement imports into Clara Fleet, where every line lands on its vehicle and driver.

Everything included

Nine modules over the same vehicles, drivers and odometers. What you enter in one shows up in the others without typing it again.

Anomaly detection

Nine rules run over every fill-up, typed or imported, and flag it on the spot. Nothing to configure, and no reading down a column looking for it.

  • More than the tank holds
  • Two fills too close
  • Odometer running backwards
  • Price out of range

Fuel

Log fill-ups by hand or import your Clara Fleet Card statement. Three views: every transaction, the ones still to reconcile, and the ones that do not look right.

Vehicles

Plate, VIN, REPUVE or RENAVAM, make, model, year, type, fuel, tank capacity, odometer and acquisition cost. Six vehicle types and nine fuel kinds, from diesel to electric.

Drivers and assignments

Licence, class and expiry for each driver. Assign a vehicle and the previous assignment closes itself, so the record of who drove what, and when, stays whole.

Maintenance

Preventive and corrective, from 14 built-in services or a title you write yourself. Schedule by date or by odometer; completing a task writes the service record and moves the odometer forward.

Documents and expiry

Thirteen document types, filtered to your fleet's country, for vehicles and drivers alike. Sorted soonest-expiry-first, and flagged on the dashboard 30 days out.

Inspections

A checklist of up to 12 points tuned per country — tyres, brakes, lights, extinguisher, first aid kit, tachograph — with a result and a comment on each. The inspection passes only when nothing failed.

Expenses

Tolls, parking, tickets, insurance, road tax and washes, charged to the vehicle that incurred them and added to that unit's true cost.

Reports and total cost

Cost of ownership per vehicle over any date range, split into fuel, maintenance and other expenses, with cost per kilometre and a CSV export.

Everything you need to know

Fleet questions, answered

What you can do without a card, how reconciliation works, and who can change your data.

Who is Clara Fleet for, and what does it cost?

Clara Fleet is for companies that work with Clara. Ask Clara what it costs for your fleet; the demo is free and needs no sign-up.

Can I start from my spreadsheet?

Yes. Paste your vehicle list from any spreadsheet: only plate, make, model and year are required, and column names in Spanish, English or Portuguese are recognised. Add each vehicle's card number and its statement lines will match it on their own. Drivers import the same way.

Do I need a Clara Fleet Card to use the app?

No. You can log fill-ups by hand from day one. If you do have a Clara Fleet Card, importing the statement saves you the typing.

Does the app connect to my card on its own?

Not in this version. Reconciliation happens by importing the CSV statement, which the app reads, matches to the vehicle and screens for anomalies. There is no live connection to the issuer.

How is our data protected?

Everyone signs in with Google or their Clara account, so Clara Fleet never stores a password. Nobody sees your fleet until an administrator approves or invites them, and only administrators can delete records.

Can I get my data out?

Yes. The per-vehicle cost report exports to CSV with the separators Excel expects in your region, ready for finance.

Does it work if I operate in more than one country?

Each installation serves one fleet with one country, one currency and one volume unit. Language is free, though: each person picks Spanish, English or Portuguese without any data changing.

Who do I talk to?
